A venue tour shows you the room. These questions show you the contract. Ask every venue you consider, and compare the answers side by side. Ours are below each one.
1. What exactly is included in the rate?
Tables, chairs, kitchen access, parking, and setup time are the items most often billed separately. At SandHills: every rental includes the whole venue for the day, 22 round and 22 banquet tables, 250 chairs, a full prep kitchen, the stage, private get-ready suites, Wi-Fi, parking, and restrooms with a mother’s room. Add-ons are optional and priced on the rates page.
2. Do I have to use your caterer or bar?
Required vendors are where many venues make their margin. At SandHills: no. Bring any caterer, restaurant, or family cook, and run your own bar within our rental terms.
3. How much is the deposit, and do I get it back?
Some deposits are non-refundable fees; others are security deposits you get back. Know which. At SandHills: $150, and it is a security deposit. Leave the venue as you found it and it is returned after your event.
4. When is the balance due, and how do I pay?
At SandHills: 14 days before your event. We email a payment link so you can pay by card, and you can also pay by check, cash, or over the phone.
5. What is the cancellation policy?
Life happens. Find out what you lose and when. At SandHills: cancel 14 or more days before the event and your deposit is returned. Within 14 days, the rental fee is forfeited. One reschedule to an open date may be arranged with advance notice.
6. How many hours do I get, and does setup count?
Hourly venues can turn a six-hour party into a ten-hour bill. At SandHills: you rent the day, not the hour. Plan your setup and clean-up inside your booked hours, and consider the Friday-to-Sunday weekend package if you want a decorating day and a slow Sunday morning.
7. How many people fit, really?
Capacity for a standing reception and capacity for a seated dinner are different numbers. At SandHills: the 50′ × 70′ hall seats up to 300 theater-style, and 150 to 180 with round tables and a dance floor. Our floor plan guide has the layouts.
8. What about sound, microphones, and a screen?
Renting A/V from an outside company often costs more than the room. At SandHills: the $149 package includes the sound system, wireless mics, and a drop-down screen, ready when you arrive.
9. Where do guests park, and how do we get in?
At SandHills: free on-site parking, and you get a door code for your day, so there is no waiting on a key. Our Event Day Guide covers the code, the thermostat, Wi-Fi, and the kitchen.
10. Can I see the price and availability without calling?
A venue that hides its rates is planning to negotiate with you. At SandHills: rates are published, the calendar shows live availability, and you can book online in a few minutes. We are happy to talk, too: (620) 314-4141, Monday through Friday, 9 to 5.
