How to host a baby shower or bridal shower at a venue in Hutchinson.

A dessert table with a blue and white balloon garland for a shower at SandHills

A baby shower venue in Hutchinson gives you one thing a living room cannot: room for everyone to sit down. At SandHills Event Center, a Sunday or weekday rental is $595 and a Saturday is $999, plus 8.25% Kansas sales tax. Tables, chairs and a prep kitchen are included, so a shower for 30 to 120 guests comes together without borrowing chairs from the neighbors.

Why a venue beats a home for a shower

Most homes hold about 20 people comfortably. Past that, guests stand in the kitchen and the gift pile blocks the hallway.

  • Space. Our main hall is 50′ × 70′, about 3,500 square feet, with a ground-level entrance for strollers and grandparents.
  • Parking. Free on-site parking, so nobody parks on a lawn.
  • No cleanup of your own house. You tidy the hall and go home.
  • A real kitchen. Fridge and freezer, stove, microwave and two commercial coffee pots. That is a coffee bar with no extra rental.
  • Tables already there. Every rental includes 22 round tables that seat 8, 22 six-foot banquet tables and 250 black chairs.

There is also a private mother’s room, which matters more at a baby shower than at most events.

How to set the room for 30 to 120 guests

A shower is part seated meal, part milling around, part watching one person open boxes. Set the room for all three.

  • Round tables for guests. Each seats 8. Plan 4 rounds for 30 guests, 8 for 60, 15 for 120.
  • A long food line. Two or three banquet tables end to end along one wall, with coffee and drinks at the far end so the line keeps moving.
  • A gift table near the door. One banquet table by the entrance. Move it beside the honoree’s chair before opening.
  • A photo spot. The built-in stage is 25′ × 16′. A balloon arch or draped backdrop there gives every guest the same picture.
  • The honoree’s chair. Face it toward the rounds, not the food line.

For a large shower, our post on floor plan ideas for the hall shows how the tables fit at full size.

A realistic budget for a shower venue in Reno County

These are our published rates. Booking is online with live availability.

ItemCost
Sunday or weekday rental$595
Sales tax, 8.25%$49.09
Sunday or weekday total$644.09
Saturday rental$999
Sales tax, 8.25%$82.42
Saturday total$1,081.42
Set-up and tear-down by our team, optional$249 plus tax
Refundable security deposit$150

The $150 deposit holds your date and comes back after the event once the hall is left as found. The balance is due 14 days before, by emailed pay link. Many showers fall on a Sunday afternoon, which is the lower rate.

The $249 set-up and tear-down add-on is worth a hard look. The host is usually the sister, the best friend or the grandmother, and she wants to be in the room, not hauling chairs. Our team places the tables and chairs and breaks them down after. Doing it yourself is free. For more detail, see our event venue cost guide.

Food that works without a caterer

We have no vendor restrictions. Any restaurant, caterer or family cooking is fine, and you may bring your own drinks within Kansas law and our rental terms. The easiest shower menus sit out well for two hours.

  • Brunch boards. Fruit, pastries, cheese and cured meat on a few large boards, built in the prep kitchen.
  • A dessert table. Cupcakes, cookies and a small cake at the end of the line. The table doubles as decor.
  • Restaurant trays. Sandwich trays, a pasta pan or a taco bar. Keep cold trays in the fridge until guests arrive.
  • Coffee and punch. Start both coffee pots an hour early. Set punch or lemonade beside them.

Sunflower Supper Club in Hutchinson is our preferred caterer, never required. Our post on bringing your own caterer covers how the kitchen handoff works.

Games, timing and when to tell guests

Two to three hours is the right length. Put a start time and a soft end time on the invitation. A 1 PM to 3:30 PM shower:

  • Arrive and eat, first 45 minutes. Food is out, coffee is hot, gifts go on the table by the door.
  • One or two games, 30 minutes. Seated games, such as a quick quiz about the honoree.
  • Gift opening, 45 to 60 minutes. One person hands gifts over and one writes down who gave what.
  • Cake and goodbyes, last 30 minutes. Cut the cake after gifts so people stay through the opening.

Our rentals are by the day, not the hour, so you can arrive in the morning to decorate and leave after the last box is in the car.

Decorating rules that matter

These come up at every shower.

  • Enclosed candles only. Votives in glass are fine. Open flames are not.
  • No confetti, glitter or rice without approval. Confetti balloons count. Ask first.
  • No nails, screws, staples or damaging tape. Use freestanding backdrops, balloon stands and tabletop decor.
  • No smoking indoors.

Leaving the hall as you found it returns the deposit. The Event Day Guide has the clean-up list, thermostat and Wi-Fi.

A short checklist

  • Pick a Sunday or Saturday and book the date online with the $150 deposit.
  • Decide on self set-up or the $249 team set-up.
  • Order food that holds for two hours a week out.
  • Sketch the room: rounds, food line, gift table, photo spot, honoree’s chair.
  • Buy enclosed candles and freestanding backdrops.
  • Assign a gift recorder and a game leader.
  • Pay the balance 14 days out when the pay link arrives.
  • Read the Event Day Guide the night before.

A shower should feel easy for the person throwing it. Give yourself a room that already has the tables, the parking and the coffee pots, and spend the afternoon with the guest of honor. We are at 4601 N Plum St in Hutchinson; call or text (620) 314-4141 with questions.
