Rental Terms
These terms apply to all rentals of SandHills Event Center, 4601 N Plum St, Hutchinson, KS. A formal rental agreement reflecting these terms is provided for your signature when you book.
1. Rental Fee & Payment
Rental fees follow our published rates for the selected day or package. A $150 non-refundable deposit is due at booking to reserve your date and is applied to your rental. The remaining balance is due 14 days before your event. Bookings made within 14 days of the event require payment in full.
2. Cancellation & Rescheduling
If you cancel, the $150 deposit is non-refundable. Cancellations within 14 days of the event forfeit the rental fee. One reschedule to a mutually available date may be permitted with advance notice, subject to availability.
3. Your Rental Hours
You have access only during your contracted hours, and all setup and cleanup must take place within those hours. Maximum occupancy is 300 guests. You are responsible for the conduct of your guests and vendors.
4. Vendors, Catering & Alcohol
SandHills has no required-vendor restrictions — you may bring your own caterer, bar, food, drinks, and décor. If alcohol is served, you must comply with all Kansas Alcoholic Beverage Control laws, and no alcohol may be served to minors.
5. Décor & Conduct
Please do not use nails, screws, staples, or tape that damages surfaces. Open flames are not permitted — candles must be enclosed. No confetti, glitter, or rice without prior approval. No smoking indoors. Music and noise must comply with local ordinances.
6. Cleaning & Damage
Return the space in its original condition with trash removed to the designated area. Any damage or excessive-cleaning costs are billed after your event.
7. Liability & Insurance
SandHills Event Center is not liable for injury, loss, or damage to persons or property during your event except to the extent caused by our gross negligence. You agree to indemnify and hold harmless SandHills Event Center, its owners, and staff from claims arising out of your event. Event/liability insurance is recommended.
8. Force Majeure
Neither party is liable for failure to perform due to events beyond reasonable control (natural disaster, government order, utility failure, and the like). In such cases the parties will work in good faith to reschedule.
